Applyingforgrantsandnegotiatingcontracts Staffandstudentsshoulddeclareallconflictswhenapplyingforgrants,negotiatingcontractsetc.Inparticular,financialconflictsneedtobedeclaredtoavoiddoubtsbeingcastoverthevalidityofresearch,andsubsequentpotentialreputationaldamage. Ifamemberofapanelmakingdecisionsaboutawardingstudentshipsisthesupervisorofanapplicant,boththesupervisorandthestudentshoulddeclareaninterest.   OtherUniversityactivities(committeework,procurement,recruitment,admissions,contractnegotiation)   Category Principles Admissions Recruitment Contractnegotiation Staffinvolvedinadmissions,recruitmentorcontractnegotiationshouldneitherdealwith,normakedecisionsabout,applicantsorotherpartiesinnegotiationsthatareknowntothem. Forexample,amemberofstaffwouldnotparticipateintheappointment,hiring,promotion,supervisionorevaluationofapersonwithwhomtheyhaveaclosepersonalrelationship. Anacademicoranon-academicmemberofstaffwhoisontheboardofgovernorsofaschoolwouldnotbeinvolvedinconsideringastudentfromthatschoolforanundergraduateplace. Procurement Ifamemberofstaffhasaconflictofinterest(arisingfromapersonalrelationshiporanoutsideappointment)relatingtotheprocurementofgoodsandservices,theycannotbeinvolvedinthepurchasingdecision. Committeework Committeemembersshoulddeclareanyconflictseitheratthestartofthemeeting,oratthestartoftheiteminquestion.Itisthentheresponsibilityofthechairtodecidehowtoproceed.Thedeclarationshouldbenotedinthecommitteeminutes.
