Publishing Authorssubmittingamanuscriptshoulddiscloseany‘significantfinancialinterest’orotherrelationshipwiththemanufacturersofanycommercialproductsorprovidersofcommercialservicesdiscussedinthemanuscriptandanyfinancialsupportersoftheresearch.Theintentofsuchdisclosuresisnottopreventanauthorwithasignificantfinancialorotherrelationshipfrompublishingapaper,butrathertoprovidereaderswithinformationuponwhichtomaketheirownjudgements. RolesandactivitiesoutsidetheUniversity Category Principles Externalappointments(startinganewbusiness,consultancyoradvisorywork,directorshipsetc) Headofdepartmentapprovalshouldbegrantedforoutsideworkandtheholdingofoutsideappointments,assetoutintheregulationsandtheassociatedpolicy. Outsideappointmentsguidanceforacademicstaffandacademic-relatedstaff Consultancypolicyandprocedures Externalappointments(useofUniversityresources) MembersofstaffshouldnotmakeuseofUniversityresourceswhenundertakingconsultancyworkorworkforexternalorganisations,unlessexpresspermissionhasbeengrantedbythedepartment. Staffmembers’primarycommitmentistotheUniversity,andthereforeamaximumof30daysperacademicyearcanbespentonexternalappointments.TheseappointmentsshouldbemanagedsothattheydonotcompetewithdutiestotheUniversity(time,teachingschedule,useofresourcesetc). Studentsupervisionandteaching Category Principles Admission,supervision,academicprogress Staffwithaclosepersonalorfamilialrelationshipwithastudentorastudent’sfamilyshouldnotbeinvolvedindecisionsaboutthatstudent’sadmission,supervisionoracademicprogress,ortheawardofanystudentships,prizesorothergrantstothestudent. Ifamemberofapanelmakingdecisionsaboutawardingstudentshipsisthesupervisorofanapplicant,boththesupervisorandthestudentshoulddeclareaninterest. OtherUniversityactivities(committeework,procurement,recruitment,admissions,contractnegotiation) Category Principles Admissions Recruitment Contractnegotiation Staffinvolvedinadmissions,recruitmentorcontractnegotiationshouldneitherdealwith,normakedecisionsabout,applicantsorotherpartiesinnegotiationsthatareknowntothem. Forexample,amemberofstaffwouldnotparticipateintheappointment,hiring,promotion,supervisionorevaluationofapersonwithwhomtheyhaveaclosepersonalrelationship. Anacademicoranon-academicmemberofstaffwhoisontheboardofgovernorsofaschoolwouldnotbeinvolvedinconsideringastudentfromthatschoolforanundergraduateplace. Procurement Ifamemberofstaffhasaconflictofinterest(arisingfromapersonalrelationshiporanoutsideappointment)relatingtotheprocurementofgoodsandservices,theycannotbeinvolvedinthepurchasingdecision. Committeework Committeemembersshoulddeclareanyconflictseitheratthestartofthemeeting,oratthestartoftheiteminquestion.Itisthentheresponsibilityofthechairtodecidehowtoproceed.Thedeclarationshouldbenotedinthecommitteeminutes. Committeemembershipshouldnotgiverisetoconflictsofinterest,andcommitteemembersshouldnottakepartinadecisioninwhichtheyhaveaconflictofinterest.Forexample,nocommitteemembershouldplayaroleinapprovingaprojectthattheyaresponsoring.
